Availability

Indoor pool parties are available Saturdays and Sundays from 1:00–3:00 PM at the Summit YMCA.

Outdoor pool parties are available June 1–August 22, 2027, excluding holidays and holiday weekends.

Sports parties are available Saturdays and Sundays, with availability varying based on sports and gym programming schedules.

Setup & Breakdown

The Summit Area YMCA provides one party attendant who assists with table and chair setup, food distribution, cake service, party favor distribution, and table and chair breakdown.

Party groups are responsible for all other setup and cleanup.

What does the party attendant do?

For pool parties, your party attendant helps things run smoothly between the pool and party room and assists with serving whatever food and drinks you bring. For sports parties, your party attendant leads the games in the gym and helps out in the party room.

Your party attendant is not a lifeguard, though a lifeguard is on duty during pool parties. Cleanup after the party is your group’s responsibility for all party types.

Food & Decorations

Decorations are welcome (no confetti, glitter, sparkles, or piñatas). Outside food and beverages are permitted (non-alcoholic beverages only).

The YMCA does not provide food, beverages, decorations, paper products, or party supplies.

Table Setup & Seating

Tables vary by room: Summit Teen Center, BH Room, and Y Room use 5′ x 2′ rolling tables. Triangle Room and other larger rooms use 6′ x 2.5′ tables. We provide enough seating for all registered children, plus a few extra seats for adults who need to sit briefly, along with a couple of extra tables for food, cake, and gifts.

Your child count is what’s capped and priced. Parents and chaperones attending to supervise are always welcome at no charge and don’t count toward your total. If you’d like table seating provided for all accompanying adults instead of just a few extra seats, that’s available for an additional $15 per seated adult.

Outside Vendors

Outside vendors are welcome with an approved Certificate of Insurance (COI). Decorators, character performers, magicians, balloon artists, face painters, caricature artists, puppet shows, DJs, musicians, outside instructors, coaches or trainers, and caterers require a COI. Pizza delivery, food delivery, and balloon deliveries dropped off at the front desk do not.

Guest List

Guest List
A roster of attendees is required 1 week prior to the event and must include the first and last name of all guests including children and adults. Submit your guest list here.

Waivers
All parents, guests, and vendors must complete a YMCA participation waiver before entering any Summit Area YMCA property, available online at www.thesay.org/waiver. Adults should complete the waiver for themselves and list any children under 18 in the household as dependents. Guests can also complete this waiver upon arrival, to save time we recommend sharing it in advance.

Required Documentation

Vendor Certificates of Insurance (COI)
If required, a COI must be submitted at least 30 days prior to the event. All outside vendors must provide a Certificate of Insurance in the amount of $1,000,000, including Workers’ Compensation coverage where applicable, naming the following as both Certificate Holder and Additional Insured:

Vendors requiring a COI: decorators, character performers, magicians, balloon artists, face painters, caricature artists, puppet shows, DJs, musicians, outside instructors, coaches or trainers, and caterers.
Vendors not requiring a COI: pizza delivery, food delivery, and balloon deliveries dropped off at the front desk.

Failure to submit required attendance lists, waivers, or COI documentation by the stated deadlines may result in cancellation of the party agreement.

Payment

A non-refundable $200 deposit is required at booking. The remaining balance is due 30 days prior to the event. Parties booked within 30 days require payment in full at booking. A payment method must remain on file for scheduled balance payments and for excessive cleanup or damages.

Accepted payment methods: credit card, debit card, ACH transaction, cash, personal check (must be paid in full 30 days prior), cashier’s check, and money order.

Processing fees: 3% for credit cards, 0.25% for ACH transactions.

Swim Testing & Supervision

Swim Testing

Every participant under 14 attending a pool party must complete a swim evaluation and receive a color-coded wristband indicating their pool access:

Green: full access to all areas of the pool
Yellow: limited to the shallow end unless accompanied by an adult
Red: limited to the shallow end; must stay within arm’s reach of a parent or guardian at all times

Parents may self-identify their child as a non-swimmer for an automatic red wristband, skipping the evaluation.

Adult Supervision Requirements

The number of adults required in the water depends on the ages of children attending:

Under 3: 1 adult per child
Ages 3–5: 1 adult per 4 children
Age 6: 1 adult per 6 children
Ages 7+: at least 1 parent or guardian present

If every child in your group earns a green wristband, no adult is required in the water.

Inclement Weather Policy

Indoor and outdoor pools remain open unless thunder or lightning is present. If severe weather impacts your party, we’ll work with you to reschedule another available date, or based on availability, we may be able to relocate the party indoors the same day. Pool parties cancelled or modified due to weather are handled on a case-by-case basis to ensure the best possible experience for guests.
